If you are running a small business or large business, education institute or any type of firm or business, It is very obvious to receive same type of emails over and over again. It is very difficult task to reply to all those emails. Sometimes you can receive thousands of emails that have same type answer but it is very difficult task to reply to those thousand emails selectively. To over come this issue Gmail has provided the auto reply feature. Gmail allows you to create a template and send that template email to all the email that matches a specific criteria. you can set filters to send a particular template.
Set Auto Reply To Canned Emails :
So we have discussed some of the situation where we can use auto reply feature, lets dig in to this.
1. Enable Canned Response Feature :
Sign in to your Gmail account and go to settings, under settings click on "Labs". You will see the available lab features. Here you will find Canned Response feature, Enable this feature. Make sure you save the changes before leaving this page.
2. Create Email Template For Auto Reply :
Once you enable Canned Response feature, go ahead and create a email template. Click on Compose then click on arrow that is on left bottom, Click on new canned response. In a pop up window, give a name to your response and write your reply in email body and click on ok. your template will be saved as canned response.
Now you have your canned response enabled and ready email template, now its time to set filters for auto response based on some criteria.
3. Set Filters For Canned response :
To set the filters, go to settings and then click on filters. Here you have to set filters to send auto reply.
Click on create a new filter. Here specify your filter criteria. you can set filters on From,To,Subject,Has the words,Doesn't have. I am going to set filter on subject. So whenever the subject is inquiry, I want my gmail to send my canned response. Once you specify the filter criteria click on "Create filter with this search".
Once you move to next window. It will show various actions to take. Click on Send Canned Response and from drop down select your canned response. and then click on create filter.
That's it you have now your canned response ready with all your filter. So whenever you receive a email having subject line "inquiry", Gmail will automatically reply to those mail with your canned response template.
